The Warehouse Documentation Specialist is responsible for preparing and posting warehouse documents, operating inventory systems for inbound/outbound transactions, and ensuring accurate recordkeeping. The role requires strong Excel skills, attention to detail, and ownership of resolving system exceptions to maintain smooth warehouse operations.
Key Responsibilities
- Print, prepare and post (postings/transactions) warehouse and logistics documents (e.g., delivery notes, packing lists, invoices, goods receipt/posting).
- Execute system transactions for inbound and outbound stock (receipts, put-aways, picks, transfers, and goods issues) in the WMS/ERP.
- Maintain and update inventory and transaction records in the warehouse management system.
- Monitor and follow up on system exceptions and discrepancies; coordinate with warehouse, procurement, and finance teams to resolve issues.
- Prepare, organize and manage documentation for audits and internal reviews.
- Produce routine reports and spreadsheets on stock movements, discrepancies, and document status.
- Continuously improve documentation procedures to increase accuracy and efficiency.
Qualifications & Skills
- Proficient computer skills and comfortable working with WMS/ERP systems.
- Familiarity with WMS inventory processes (receipts, put-away, picking, shipping).
