The Sales Support Specialist plays a vital role in supporting the sales team and ensuring efficient communication between internal departments. This role is responsible for managing quotations, processing orders, and maintaining accurate documentation to ensure a smooth sales process.
Key Responsibilities
- Act as a liaison between outside sales representatives, customers, and suppliers to gather required information and resolve inquiries in a timely and professional manner.
- Research, document, and compile all necessary details to prepare accurate customer quotations and sales orders, including pricing and availability of materials and components.
- Coordinate pricing requests with suppliers and internal teams to support quote generation.
- Convert approved quotations into sales orders and communicate key details to relevant departments.
- Maintain accurate and organized order records and ensure all documentation meets company standards.
- Manage both inbound and outbound customer account communication, providing proactive and responsive service.
- Handle order changes, including cancellations or modifications, and ensure updates are clearly communicated to all impacted teams.
- Collaborate with cross-functional departments to track order status, address any delays, and ensure client delivery expectations are met.
- Maintain up-to-date knowledge of product offerings and vendor promotions to support accurate quoting and capitalize on cost-saving opportunities for customers.
Experience, Competencies, And Education
- Bachelor's degree or equivalent relevant work experience preferred.
- Proficiency in Microsoft Office Suite (Excel, Outlook, Word) and ERP systems; SAP experience a plus.
- Exceptional written and verbal communication skills, with the ability to collaborate effectively across teams.
- Highly organized and detail-oriented, with strong documentation and record-keeping skills.
- Demonstrated ability to manage time effectively, prioritize tasks, and respond positively in a fast-paced, dynamic work environment.
