Our client, a prestigious event management firm, is seeking a highly organized and creative Senior Event Planner & Coordinator to manage and execute exceptional virtual and hybrid events. This is a crucial, fully remote role, offering the flexibility to plan and coordinate events from any location. The ideal candidate will possess extensive experience in event planning, logistics, vendor management, and budget oversight, with a strong aptitude for virtual event technologies. You will be responsible for the end-to-end planning and execution of a variety of events, including conferences, corporate meetings, product launches, and virtual celebrations. Key responsibilities include conceptualizing event themes, securing virtual platforms, managing speaker coordination, overseeing attendee registration, coordinating virtual logistics, and ensuring seamless event flow. You will also be responsible for developing event budgets, tracking expenses, and negotiating contracts with vendors and suppliers. Collaboration is essential; you will work closely with clients, internal teams, and external stakeholders to ensure all event objectives are met and that participants have an engaging and memorable experience. We are looking for a detail-oriented, proactive, and resourceful individual with exceptional organizational and communication skills and a passion for creating outstanding event experiences. Responsibilities:

  • Create detailed event timelines, run sheets, and project plans.
  • Manage event budgets, track expenses, and ensure cost-effectiveness.
  • Oversee attendee registration, communication, and engagement strategies.
  • Coordinate speaker briefings, technical rehearsals, and on-site (virtual) support.
  • Troubleshoot technical issues and provide on-site (virtual) event support.
  • Conduct post-event evaluations and provide comprehensive reports to clients.
  • Stay updated on the latest trends and technologies in virtual and hybrid event management.
Qualifications:
  • Bachelor's degree in Hospitality Management, Event Management, Marketing, Communications, or a related field.
  • Minimum of 5 years of experience in event planning and coordination, with a significant focus on virtual and hybrid events.
  • Proven experience managing budgets, negotiating contracts, and overseeing vendor relationships.
  • Proficiency with virtual event platforms (e.g., Zoom Events, Hopin, Cvent) and related technologies.
  • Excellent organizational, project management, and multitasking skills.
  • Strong problem-solving and critical thinking abilities.
