Our client, a renowned hospitality venue, is looking for a vibrant and meticulous Events Coordinator to manage and execute a wide range of events. This role is based on-site at our beautiful location and is critical to delivering exceptional experiences for clients and guests. You will be responsible for all aspects of event planning, from initial concept development and client liaison to seamless on-site execution and post-event follow-up.

Key responsibilities include:
  • Consulting with clients to understand their event needs, objectives, and budget.
  • Developing creative event concepts and detailed proposals.
  • Managing all aspects of event logistics, including venue setup, catering, audiovisual requirements, entertainment, and staffing.
  • Coordinating with vendors, suppliers, and internal departments to ensure smooth event operations.
  • Creating detailed event timelines and run sheets, ensuring adherence to schedules.
  • Conducting site inspections and walkthroughs with clients and key stakeholders.
  • Overseeing on-site event execution, managing staff, and troubleshooting any issues that arise.
  • Ensuring high standards of service and guest satisfaction throughout the event.
  • Managing event budgets and processing invoices and payments.
  • Gathering post-event feedback from clients and attendees.
  • Maintaining strong relationships with clients and fostering repeat business.
  • Staying informed about industry trends and best practices in event management.
  • Ensuring compliance with health, safety, and security regulations.
  • Assisting with marketing efforts related to events.
The ideal candidate will possess a Bachelor's degree in Hospitality Management, Tourism, Marketing, or a related field, or equivalent practical experience. A minimum of 3 years of experience in event planning and coordination, preferably within the hospitality or tourism sector, is required. Exceptional organizational, time management, and multitasking skills are essential. Strong communication, interpersonal, and negotiation abilities are crucial for effective client and vendor management. A proactive approach, problem-solving skills, and the ability to remain calm under pressure are vital. Proficiency in event management software and Microsoft Office Suite is expected. A passion for creating memorable experiences and a dedication to delivering excellence are paramount for success in this role. This is a hands-on position requiring a strong presence at the venue.
