You will be responsible for managing complex calendars, coordinating meetings and travel arrangements, preparing reports and presentations, and handling confidential correspondence. The ideal candidate will possess outstanding communication and interpersonal skills, enabling effective interaction with internal and external stakeholders globally. Experience in managing multiple priorities in a fast-paced environment is essential. This position is fully remote, requiring a dedicated home office setup and strong self-management skills. You will serve as a primary point of contact and gatekeeper, ensuring efficient workflow and timely resolution of administrative tasks. Key responsibilities include expense reporting, document management, event planning support, and acting as a liaison between executives and their teams. A deep understanding of office productivity software suites and virtual collaboration tools is a must. - Arrange domestic and international travel, including flights, accommodations, and itineraries.
- Prepare, proofread, and edit documents, reports, and presentations.
- Handle confidential information with utmost discretion.
- Coordinate and schedule meetings, conferences, and virtual events.
- Serve as a primary point of contact for executives.
- Manage expense reports and corporate reimbursements.
- Organize and maintain digital and physical filing systems.
- Assist with special projects and ad-hoc administrative tasks.
- Liaise with internal departments and external partners.
Required Qualifications:
- Proven experience as an Executive Assistant or in a similar senior administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- Discretion and a high level of professionalism.
- Ability to multitask and prioritize effectively in a remote setting.
- Experience with virtual meeting platforms (e.g., Zoom, Microsoft Teams).
- Demonstrated ability to anticipate needs and problem-solve proactively.
- High school diploma or equivalent; Associate's or Bachelor's degree preferred.
