You will serve as the primary gatekeeper and strategic partner to the CEO, managing all aspects of their professional life to maximize their efficiency and effectiveness. Responsibilities include complex calendar management across multiple time zones, coordinating international travel arrangements, preparing detailed agendas and meeting materials, and taking accurate minutes. You will act as a liaison between the CEO and internal/external stakeholders, ensuring seamless communication and follow-through on action items. Proactive inbox management, expense reporting, and the preparation of confidential reports and presentations will also be key duties. The ideal candidate will have a proven track record of success supporting C-suite executives in demanding environments, preferably within a technology or fast-growth sector. Superior communication skills, both written and verbal, are essential, along with advanced proficiency in Microsoft Office Suite, Google Workspace, and various project management and communication platforms. Key Responsibilities:
  • Manage and optimize the CEO's complex and dynamic calendar, including scheduling internal and external meetings across various time zones.
  • Arrange and coordinate all domestic and international travel, including flights, accommodation, visas, and detailed itineraries.
  • Prepare meeting agendas, background materials, and take accurate, concise minutes, ensuring timely distribution and follow-up on action items.
  • Serve as a primary point of contact and liaison for the CEO, managing communications with employees, clients, partners, and other stakeholders.
  • Proactively manage the CEO's inbox, filtering, prioritizing, and responding to correspondence as appropriate.
  • Process expense reports and manage budget tracking for the CEO's office.
  • Assist in the preparation of presentations, reports, and other critical documents.
  • Conduct research and gather information to support the CEO's initiatives and decision-making.
  • Handle confidential information with the utmost discretion and professionalism.
  • Anticipate the CEO's needs and proactively address potential issues.
Required Qualifications:
  • Minimum of 5-7 years of experience providing executive-level support to C-suite executives, preferably a CEO.
  • Proven experience managing complex calendars and international travel logistics.
  • Exceptional organizational and time management skills.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Experience with virtual meeting platforms (Zoom, Microsoft Teams) and project management tools.

  • Managing the CEO's calendar with meticulous attention to detail, including scheduling meetings, appointments, and travel arrangements.
  • Coordinating and preparing for internal and external meetings, including preparing agendas, taking minutes, and distributing action items.
  • Arranging complex domestic and international travel, including flights, accommodation, visas, and ground transportation.
  • Handling confidential information with the utmost discretion and professionalism.
