Key Responsibilities:
- Manage and coordinate complex international travel arrangements, including flights, accommodations, and visas.
- Proactively manage executive calendars, scheduling meetings, appointments, and calls, while resolving conflicts.
- Prepare agendas, take minutes, and track action items for meetings.
- Screen and prioritize incoming communications, including emails, calls, and mail, and draft responses as needed.
- Conduct research and prepare reports, presentations, and briefing materials for executive use.
- Organize and manage virtual events, workshops, and team-building activities.
- Handle confidential information with the utmost discretion and professionalism.
- Liaise with internal departments and external stakeholders on behalf of the executives.
- Manage expense reporting and reconciliation for the executive team.
- Proactively identify and address administrative challenges before they arise.
- Maintain and organize digital filing systems and databases.
- Provide general administrative support, including document preparation and proofreading.
- Assist with special projects as assigned by the executive team.
Qualifications:
- Proven experience as an Executive Assistant, Administrative Assistant, or in a similar role supporting senior management.
- Exceptional organizational and time-management skills, with the ability to multitask effectively.
- Proficiency in calendar management and scheduling tools (e.g., Google Calendar, Outlook Calendar).
- Strong command of virtual collaboration tools (e.g., Zoom, Microsoft Teams, Slack).
- Excellent written and verbal communication skills in English.
- High level of discretion and confidentiality.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Ability to work independently with minimal supervision and take initiative.
- Adaptability to changing priorities and ability to thrive in a fast-paced remote environment.
- Experience in international business is a plus.
