Our client is looking for a highly organized, proactive, and detail-oriented Executive Administrative Assistant to provide comprehensive support to senior leadership. This is a fully remote position, offering a flexible work environment. You will play a pivotal role in ensuring the smooth and efficient operation of global executive functions. This includes managing complex calendars, coordinating international travel arrangements, preparing reports and presentations, and acting as a primary point of contact for internal and external stakeholders. Exceptional communication skills, discretion, and a proactive approach to problem-solving are essential for success in this demanding role.

Key Responsibilities:
  • Manage and maintain complex, multi-time zone calendars for senior executives.
  • Arrange and coordinate all aspects of domestic and international travel, including flights, accommodation, and visas.
  • Prepare, proofread, and edit correspondence, reports, and presentations.
  • Organize and prepare for executive meetings, including agenda preparation, minute-taking, and action item tracking.
  • Screen and prioritize incoming communications, ensuring timely responses.
  • Serve as a liaison between executives and other employees, clients, and external partners.
  • Handle confidential information with the utmost discretion.
  • Manage expense reports and departmental budgets.
  • Proactively identify and resolve administrative challenges.

Qualifications:
  • Proven experience as an Executive Administrative Assistant or similar role, supporting C-level executives.
  • Exceptional organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools.
  • Excellent written and verbal communication skills.
  • High level of discretion and professionalism.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Experience with international travel arrangements and visa processing.
  • Strong problem-solving abilities and a proactive mindset.

You will be responsible for managing complex calendars, coordinating travel, preparing reports, and acting as a key point of contact for internal and external stakeholders.

Key responsibilities include:
  • Managing and optimizing complex executive calendars, scheduling meetings, and prioritizing appointments across multiple time zones.
  • Coordinating domestic and international travel arrangements, including flights, accommodation, visas, and itineraries.
  • Preparing, proofreading, and editing correspondence, reports, presentations, and other documents.
  • Acting as a gatekeeper and liaison for the executive team, screening calls, responding to inquiries, and redirecting information as appropriate.
  • Organizing and managing virtual meetings, including setting up conference calls, distributing agendas, and taking minutes.
  • Conducting research and compiling information for executive review.
  • Managing expense reports and processing invoices.
  • Maintaining confidential files and records with discretion.
  • Assisting with special projects and ad-hoc administrative tasks as assigned.

The ideal candidate will have a proven track record as an Executive Administrative Assistant or in a similar high-level support role. A minimum of 5 years of experience supporting senior-level executives is required. Exceptional organizational and time management skills are paramount, with the ability to multitask and prioritize effectively in a fast-paced remote environment. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (e.g., Zoom, Microsoft Teams) is essential. Excellent written and verbal communication skills, with a keen eye for detail and accuracy, are critical. Discretion and a high level of professionalism are required. The ability to work independently and demonstrate initiative is a must. This role is based in Ongata Rongai, Kajiado, KE , but is fully remote.
