What are we looking for?
We are seeking an experienced
Conveyancing Assistant with strong knowledge of Queensland conveyancing processes
to support our legal team. The role requires someone with excellent attention to detail, strong organizational skills, and the ability to manage multiple tasks within strict timelines. You will be responsible for assisting solicitors with contract reviews, preparing client communications, managing key deadlines, and ensuring smooth end-to-end conveyancing transactions.

You will be joining a professional legal team with a supportive and collaborative culture. This role offers exposure to diverse conveyancing matters and the opportunity to build further expertise in Queensland property law.

What are you expected to do?

  • Review contract of sale/purchase conveyancing documents and open matters in the practice management system.
  • Prepare initial client letters (drafts to be reviewed by solicitor).
  • Input tasks into the system for review and monitor time expiry of conditions (e.g., pest inspections, building reports).
  • Prepare and manage client agreements, searches, PEXA authorisation forms, and other required documentation.
  • Draft settlement statements as required.
  • Upon settlement, prepare final letters (drafts to be reviewed by solicitors).
  • Provide general legal support, including managing dictations, sending documents via DocuSign, and assisting with administrative tasks.
  • Assist in the preparation of basic wills from dictation.
  • Manage matter closure, including archiving files in accordance with firm procedures.

You'll Be a Great Fit If

  • You have at least 3 years of proven experience as a Conveyancing Assistant in Queensland, Australia with a solid understanding of state-specific requirements and processes.
  • You have a familiarity with PEXA and practice management systems.
  • You have strong organizational and time management skills, with the ability to monitor multiple deadlines simultaneously.
  • You have excellent written and verbal communication skills.
  • You have a high attention to detail and accuracy in document preparation.

Daily Reconciliations

  • Perform bank reconciliations to properly apply payments to sales and bills, ensuring alignment with bank transactions.
  • Complete clearing account reconciliations, reconciling payouts from multiple payment channels.
  • Resync transactions across Shopify, Cin7, and Xero to ensure invoices are consistently recorded and matched.
  • Manage order fulfillment in Cin7 by updating invoices with the correct status from Shopify.

Regular Reporting & Monitoring

  • Prepare and deliver Accounts Receivable (AR) reports on a fortnightly basis to monitor outstanding receivables.
  • Support the Financial Planning (FP) team by completing reports for financial statements and AR monitoring.

Transaction Recording & Processing

  • Accurately record day-to-day financial transactions and ensure timely posting.
  • Process and record invoices for expenses and inventory.
  • Complete Accounts Payable (AP) and Accounts Receivable (AR) clearing activities.

Team Coordination & Support

  • Work closely with the team to ensure deadlines are met for both clients and internal operations.
