About The Role
The School Operations Associate is responsible for assisting/directing the planning, development and implementation of duties and projects related to School Academic Systems, Sports Activities, Transport, Meal Services, Educational Technology, Library, IT Services, Facilities Management, Procurement and Finance and Administration.

Key responsibilities for the role include:

  • Day-to-Day Operations

  • Drive operational excellence in daily school operations

  • Ensure smooth campus operations, including evening, weekend, and holiday activities
  • Liaise with school leadership, academic team, and operations team for seamless operations
  • Support various aspects of school operations (Library, Student Support Services, Kitchen operations, Sports Activities, etc.)
  • Plan, assign, and direct contract/casual staff, including cleaning and security
  • Appraise staff performance, recommend any rewards and discipline steps for contract/casual staff, and address complaints and resolve problems

  • Project Implementation

  • Assist with the implementation of initiatives by the Operations team

  • Support project execution related to school goals, including renovation, construction, new policies/systems, etc

  • Space Allocation & Management

  • Lead allocation and management of school spaces/facilities

  • Ensure stakeholders are informed of any changes or issues in good time
  • Secure and prepare spaces/equipment/facilities for school events at least 7 days prior

  • Uniform Management

  • Act as a point person between Procurement and school leaders for uniform changes

  • Support the execution of new uniform designs
  • Ensure updated uniform brochures are available for parents and included in parent newsletters

Health, Safety, and Compliance

  • Contribute actively to the success of the school's Health & Safety Committee
  • Ensure compliance with all national and county government regulations (permits, licenses, certificates, etc)
  • Maintain well-filed and accessible school registration documents
  • Conduct daily facilities and spaces walkthroughs, providing daily reports with photos
  • Conduct weekly and bi-weekly facilities and infrastructure walkthroughs, providing detailed reports
  • Ensure timely identification and actioning of all repair and maintenance needs, while providing regular updates to stakeholders
  • Complete and communicate the safety drill calendar and procedures, document drill reports, and implement feedback

Assets and Resource Management

  • Maintain the school asset register and ensure monthly reviews by the School Leader.
  • Manage school assets through their life cycle, from acquisition to disposal
  • Sensitise teammates and students on responsible resource use, e.g. water and electricity.
  • Address teammate needs (repair of furniture, fittings, restrooms) within 48 hours, closing out issues within 5 days

Financial Management

  • Track the school's OPEX budgets and expenditures, ensuring compliance and maximising savings
  • Serve as the school's Procurement Launch point person, preparing the budget, leading procurement in liaison with the Procurement team, receiving and tracking deliveries, attending relevant meetings, and providing regular updates
  • Receive, review, and store Procurement Launch & mid-year supplies and deliveries
  • Prepare resource-efficient budgets for major school events (Big Events), obtain approvals, and share post-event reports
  • Prepare annual special billing revenues budgets and lead post-reviews
  • Liaise with the Dean of Students/Associate Dean of Students and vendors for the timely processing of invoices and payments
  • Share Purchase Requests (PRs) with the School Leader twice a week, ensuring clear item narration and timely PR processing
  • Maintain positive relations with vendors, consultants, and suppliers, ensuring good communication and customer experience

Leadership and Professionalism

  • Maintain professional grooming and dress code, modelling high expectations
  • Volunteer for tasks, displaying courtesy, friendliness, and respect to stakeholders
  • Bring a solutions-driven mindset to all engagements
  • Project warmth, positivity, and optimism in interactions
  • Respond to written communication within 24 hours
  • Ensure meeting preparedness by diarising meetings, arriving early, providing updates, meeting timelines, and contributing thoughtful input
  • Collect, analyse, and present data at least three times a term for data-driven planning
  • Prepare timely, concise, and accurate written communication
  • Take responsibility for tasks, seeing them through to completion with a plan, realistic timelines, and budgets
  • Maintain an organised Google Drive folder for role-specific documents, accessible by the School Leader, line coach, and school team

About You
Skills and Qualifications required:

  • A Diploma/ Bachelor's Degree in Business Administration, Management or Economics
  • A minimum of 4 years of related work experience, preferably in business operations, project management, marketing, event management and/or finance operations
  • At least 1-2 years spent in a leadership/ supervisory role demonstrating progressive responsibility
  • Superior problem-solving and planning skills
  • Highly developed organisational, communication and presentation skills
  • Good competence in Microsoft packages, such as Microsoft Excel
  • Superior interpersonal skills as demonstrated by the ability to form professional relationships at all levels of the organisation and with appropriate external stakeholders

About The Role
We are hiring Kiswahili Specialist Teachers to oversee the daily learning for our primary school students within a teaching team. You will be required to participate in, and lead where appropriate, extra-curricular programmes in the school and assist in planning and organizing of school events and functions (e.g. inter-house competitions, concerts, school plays, culture days, Kiswahili competitions, and award evenings.)

You will also:

  • Provide a safe and secure environment for children to feel comfortable
  • Plan and execute appropriate activities for the children each day according to the curriculum, schemes of work and lesson plans that meet the social, physical and emotional needs of the children
  • Developing, reviewing and updating schemes of work and lesson plans in line with the school curriculum in partnership with the Learning Design team

About The Role
You will:

  • Facilitate the public relations function of the front office
  • Provide administrative support to the School Principal

About The Role
Key responsibilities for the role include:

  • Liaising with science teaching staff on their needs for practical work and maintain an efficient system for the use and allocation of materials and equipment, setting a priority system where necessary
  • Advising science teaching staff on technical components of the curriculum

  • Maintaining a safe chemical storage/handling/disposal system in accordance with current regulations

  • Keeping a record of the consumables used regularly and maintain adequate supplies of them (including chemicals)
  • Acquiring relevant catalogs and price lists

About The Role
Key responsibilities for the role include:

  • Operate the school motor vehicle in a safe and efficient way according to all relevant legislation, policies and procedures
  • Ensure that "door to door" policy for dropping and picking of pupils is maintained
  • Follow planned route on a time schedule
  • Work together with the bus assistant in maintaining order in the bus
  • Report and document any vehicle defect on daily basis
  • Observe speed limits and all other road signs
  • Fuel allocated vehicle as per fueling schedule
  • Drive pupils to educational trips, sports activities and any other school activity in a safe manner
  • Document actual mileage, timings and destination in the vehicle movement book before commencement of any trip
  • Undertake daily routine checks for tyres, oil, radiator coolant and lights
  • Ensure the allocated school motor vehicle is kept clean on daily basis
  • Notify Transport Manager of any accident/incident immediately
  • Notify Transport Manager of any delay, route diversion and riots
  • Follow Emergency policy when involved in emergencies or accident
  • Ensure the school motor vehicle is safely and securely parked on campus and when on trips
  • Ensure that all pupils on route are on board before journey start
  • Ensure all on board are aware of rules and responsibilities as passengers
  • Maintain order and discipline in the school motor vehicle
  • Perform any other duties as assigned on behalf of the organization including running errands, transporting staff and ferrying students to the hospital for emergency cases

Compliance with Internal Policies, Standards, National Laws & Regulations

  • Adhere to the stipulated standards and conduct outlined by the Nova Pioneer Transport Policy, the Nova Pioneer Employee Handbook and other relevant policies
  • Ensure that all National and County Legal requirements such as licenses, permits or certificates are met and continually kept current or updated. This includes any motor vehicle licenses, approvals, certificates and permits
  • Champion & Promote Safety & Best Work Practices
  • Conduct weekly workplace inspection to ascertain adherence to the Workplace Health & Safety Protocols and other relevant standards
  • Participate and own all Health & Safety initiatives that may be recommended by the Health & Safety Committee or other Organisation or School Leadership organs
  • Responsibly handle and operate tools, equipment and machinery according to the prescribed manufacturer's recommendations and safety procedures
  • Correct unsafe conditions in the work area and promptly report any conditions that are not correctable to the supervisor
  • Keep the workshop, equipment and tools in a safe operating condition

About The Role
Key responsibilities for the role include:

  • Teach and deliver exceptional, real world, enquiry-based Computer Studies lessons that align with the Kenya curriculum requirements
  • Maintain positive, constructive and professional relationships with students, their families and colleagues.
  • Develop lessons plans and partner with the Learning Design Team in reviewing and updating lessons when required/ desired
  • Create a classroom environment that is conducive to learning, is developmentally appropriate to the maturity and interests of the students and maintain an organized and focused learning environment
  • Infuse joy and passion for learning in lessons so that students are excited and interested in their academic excellence.
  • Provide necessary accommodations and modifications for the growth and success of all students both in academic and culture expectations
  • Be accountable for students' mastery of content and academic standards
  • Integrate interactive technology into lessons to enhance instructional delivery
  • Set and communicate rigorous and ambitious goals for all students and provide effective student feedback so they internalize them

We are looking for two outstanding educators to serve as Associate Dean of Students at our Athi River campus. Nova Pioneer Athi River School is a campus that offers both the CBE and Cambridge curricula and serves Pre-Primary, Primary, Junior Secondary and Senior Secondary students.

As an Associate Dean of Students, you will be required to have expertise and competency across students affairs, co-curricular programming, parent relations and health, safety and operations.

About The Role

In partnership and under the guidance of the Deputy School Leader, you shall hold the following responsibilities:

Vision and Administration for the Student Affairs Program

  • Create, refine, manage and monitor a vision, action plan and monitoring plan for Student Affairs
  • Develop and maintain the student affairs department's strategic plan, ensuring alignment with the overall institutional strategic planning efforts in fulfillment of the Nova Pioneer mission.
  • Using past and current data, oversee the vision and implementation of a Student Life strategy and provide oversight to ensure effective and efficient use of all resources assigned to student life (financial, human, etc.)
  • Implementing and monitoring ongoing benchmarking, assessment, and innovative improvements for all Student Affairs areas to improve the student experience
  • Appraising performance, rewarding accomplishments, addressing inappropriate behavior, addressing complaints and resolving problems
  • Making and implementing schedules of clubs, sports, after school and weekend programming.
  • Manages the school's clubs and house programmes including club scheduling & sign up, patron/vendor management, club reports, club activities; and all house programmes.
  • Conducting clubs and sports walkthroughs and providing feedback
  • Ensuring that all students and their parents have signed the student/parent handbook and keeping the signed handbook in record.
  • Ensuring the management, development, coaching, growth and accountability of direct reports

  • Ensuring that the School's behavior policy is implemented consistently and effectively. Working in collaboration with the leadership team and behavior committee to ensure fair proceedings.
  • Executing, analyzing and monitoring systems and structures for positive behavior systems for students that are used with fidelity by students, teammates and parents.
  • Provides safe channels for students to share feedback/ideas and address their concerns
  • Executing, analyzing and monitoring systems and structures for a thriving house system that serves as the cornerstone for the positive behavior system
  • Execute, analyze and monitor systems and structures for culture and behavior trend data
  • Execute, analyze and monitor systems and structures for end to end addressing and documenting all infractions
  • Support students in managing behaviour expectations using a restorative justice approach
  • Ensuring that the highest standards of discipline are maintained. You will work closely with the Deputy School Leader to ensure that incidents are dealt with in the most appropriate way in order that the School's behaviour policy is implemented consistently and effectively
  • Provides structures for celebrating students who are living and leading NP Culture
  • Leads student mentorship/buddy programmes to strengthen student relationships.
  • Manages the student happiness survey process (scheduling, administration, data analysis and leveraging data to improve students' experience)
  • Participating in the school based discipline committee
  • Manages the students' government programmes including elections, induction, training, activities and offboarding
  • Coordinates student onboarding. Onboard new students and orient continuing students to new expectations as they progress from one level to the next

Parent Engagement

  • Implementing an inspiring vision for parent partnership that ensures parents are pulled in as active partners and advocates of the school who are involved in their childrens' learning, character and holistic growth

Teammate Development

  • Coaches teachers on managing student behaviour and building student character
  • Is the primary owner of Student Leadership Development: Creates plans and systems for teaching student leadership development to Novaneers, including supporting rollout with teachers, training and development for teachers, and observation and feedback on implementation
  • Coaches, develops, manages and holds accountable swimming coaches, clubs vendors and sports vendors
  • Works with the School Counsellors and teachers to create individual student behaviour plans and student support plans
  • Coordinates school duty rotas and other relevant student life experiences (non-academic) e.g. health and safety; school culture e.g. transitions; safety drills e.g. fire drills, etc

Communication

  • Execute and monitor vision for and roll out effective communication systems with students, team, parents and the wider community, in collaboration with the external relations team
  • Ensure clear systems and structures for communication and clarity in all matters student affairs
  • Ensure timely updates on student affairs to the Deputy School Leader and School Leader
  • Collaboratively engage the parent body on key student affairs programs by being part of any PTA-related meeting from time to time
  • Ensuring a response time of no more than 48 hours on all matters students affairs to stakeholders.

Operations, Health and Safety

  • Creating a plan for student health and safety emergency preparedness
  • In partnership with the Deputy School Leader and school leadership team daily participate in operational walkthroughs of campus to ensure high standards of functionality
  • Conducting monthly safety drills, health and safety and risk committee meetings

Events and After-School Programming

  • Plan, coordinate and execute engaging after school and weekend activities that promote student social and personal development
  • Creating weekly and monthly events to foster the students 6 Culture Principles, 3Cs, Leadership and Innovation
  • Lead in and participate in event After Action Reviews (AARs).
  • Trains, manages and oversees peer mentors

About You

  • You have a Bachelor's Degree in Education and you are TSC certified
  • Masters degree in education/ social sciences is not compulsory but will be an added advantage
  • You have excellent interpersonal and leadership skills that encompass trust and respect
  • You have excellent written and verbal communication skills
  • You have strong coaching and people management skills
  • You have a proven track record of success in leading team(s) at the entry or mid-level
  • You have very strong planning and organisation skills (will be required to send parent surveys, organise student lists and teacher lists for school events, etc)
  • You have experience using tech.
