Job Overview,



The post will require a high level of communications skills to engage with site coordinators and Compassion Aid in study sites. The post holder will have to be able to work unsupervised, often with a variable timescale, sometimes out of hours and may require some international travel.



REPORTS TO: The Programme Manager



BUDGET AND RESOURCE RESPONSIBILITY:



Project operational budget

Ordering and accountability for materials, consumables and project assets.

KEY RESPONSIBILITIES:



Be responsible for developing and maintaining a calendar of activities in consultation with the Programme Manager and management team.

Be responsible for tracking approvals and regulatory renewals and reports, and ensuring timely preparation and submission.

Develop and maintain study documentation, contracts and inventory of assets.

Track expenditures on the Network and related grants in consultation with the Programme Manager, Finance Offices as well as with project sites in other countries.

Maintaining systems for continuous monitoring and provision of regular feedback through scheduled meetings with internal teams and sites or specific technical groups, mostly by teleconference.

Coordinate scientific and operational activities internally and externally, including organizing meetings

Coordinate ordering and distribution of resources to sites for centrally procured items, and items for sites, ensuring inventories are available for the coordination office.

Coordinate travel arrangements for various local and international trips and meetings.

To liaise with other departments within the research Programme to ensure smooth running of the projects

Undertake other duties as assigned by the Programme Manager.

QUALIFICATIONS:



Essential Criteria:



A bachelor’s degree in business, administration, project management or a related field with at least 2 years relevant working experience or a science degree plus at least 1 years of working experience as a study or clinical trials coordinator

Demonstrable experience in writing reports in English

Demonstrable experience in organizing large meetings or networks

Computer literacy with proficiency in project management tools and Microsoft applications

The Administration and Operations Officer will be responsible for organizing and managing office administration in order to ensure organizational effectiveness and efficiency. The Administration and Operations Officer will ensure that administrative processes follow Compassion Aid, USAID rules and regulations, other applicable approved procedures at all times.



KEY RESPONSIBILITIES

Ensure compliance with USAID and Compassion Aid’s regulations and standards.

Ensure that administration processes run smoothly to support effective and efficient program implementation.

Coordinate with IT support to ensure the functionality of office technology and systems.

Provide and ensure that all logistics requirements are available for the smooth running of program activities.

Ensure the office environment is well-maintained, clean, and safe for all staff.

Responsible for managing and reporting operational usage of vehicle fleet and other facility equipment.

Support fleet management process

Support planning and coordination of business travels for all country office staff

Organize and manage meetings, workshops, and training sessions including any needed travel logistics, accommodations and transportation.

Maintain lease and contract management database and ensure that renewals, extensions, termination processes are promptly initiated and completed

Ensure that all shipments received are properly recorded and ensure that appropriate department is informed of the arrival of each shipment.

Support office management and facility management process

HR support: Assist with the on boarding process for new hires, including orientation and training. Facilitate effective communication within the organization, ensuring all staff are informed of relevant policies and updates.

Establish systems to gather and address feedback to enhance administrative functions.

Qualifications:

Diploma or equivalent; bachelor's degree preferred.



Proven experience in an administrative role.



Strong organizational and time management skills.



Excellent written and verbal communication skills.



Proficiency in Microsoft Office suite.



Ability to maintain confidentiality and exercise discretion.

Job Brief:



Under the leadership of the Project Coordinator, the Community Health Records & Safety Officer will ensure the community-based delivery of Compassion Aid services in CHAMPS through effective coordination and function of the community health volunteer system inter-phasing with the link health facilities.



Key Responsibilities



Provide technical and hands-on support for implementation of Quality Assurance/Quality Improvement of WASH, and livelihoods interventions within the community.

Provide technical support and supervision for implementation of quality community WASH activities.

Support the establishment and strengthening of systems and structures to enhance community-facility linkages in project area for improved outcomes among project beneficiaries

Monitor the performance and reporting by community health volunteers (CHVs), community units and community focused activities towards realization of program outcomes.

Support implementation, at community level, of evidence-based techniques and strategies to ensure quality programming in WASH, and livelihoods.

Support the identification training needs among CHVs and other community groups, plan training and facilitate training sessions on the various program focus areas.

Ensure project activities within the community is compliant with national guidelines and policies

Develop and distribute appropriate job aids and education materials relevant to the program focus areas for community health volunteers and other targeted community groups

Facilitate partnership meetings between facility and community health volunteers to review performance on a monthly, quarterly, semi-annual and annual basis at facility level.

In liaison with the community strategy focal person and Community Health Extension Workers, provide technical support and supervision to CHVs and Community Health Committees in discharge of their mandate.

Represent Compassion Aid at county, sub-county and facility meetings as may be called upon.

Qualifications



Minimum Qualification of a Degree in Community Development, Social Work, Social sciences, Nursing or Clinical Medicine. A Bachelor’s degree in health sciences is desirable.

Hands on community experience in HIV service delivery and technical coordination.

Minimum of 2 years’ hands-on experience in Community Health Strategy, Clinical and programming in the rural context, working with Ministry of Health.

Excellent social mobilization skills

Excellent coordination and networking skills including liaison with stakeholders.

Technical expertise in critical components of integrated RMNCH and WASH.

Must have good analytical and report writing skills.

Experience working with an NGO is a plus.

Computer literacy in Microsoft Word, Excel.

Proposal writing will be an advantage.

The M&E Specialist works under the direct supervision of the M&E Advisor with in Monitoring and Evaluation section. The M&E Specialist will undertake a wide range of tasks relating to Monitoring and Evaluation, data-information on both program and activity level.

Therefore his/her in-depth understanding of the project’s indicators, and data collection methods and techniques is critical for successfully performing the tasks outlined below and this position may require travel to provinces.



Key Responsibilities

Under take responsibility of updating Compassion Aid's online database meeting the standards of the assigned indicators.

Assist M&E Advisor in conducting M&E training to Implementing partners, Contractors and our Technical staff to ensure the data collection quality for reporting purposes.

M&E Specialist should have the ability to design M&E database in Access and/or visual basics and run queries to support the data requested.

He/She is responsible for all data cleaning and entries in the developed Monitoring and Evaluation database system and assist in M&E training evaluation survey and PMP report on regular bases.

The individual will particularly focus on data quality and/while cross checking component data and achievement with hard copies-this will be a Data Quality Assessment (DQA) and audit alert process.

M&E Specialist will collect, analyze, enter Non-indicator data such as male covered with Gender related activities, female forums and other programs that the women and girls are benefited through our activities.

He/She will maintain hard copies and digital copies of M&E document and maintain systematic filing system within M&E section

The M&E Specialist should be able interpret indicator and Non-indicator data and assist M&E Advisor with timely inputs to update Compassion Aid's Info on Quarterly bases.

Perform other duties as assigned by management team and direct supervisor.

QUALIFICATIONS:



University degree in similar field(relevant experience and/or any other university degree may substitute for the degrees mentioned).

Minimum of 2 years experience in Monitoring and Evaluation Performance Management Plan (PMP) implementation, reporting, drafting questionnaires and drafting data collection tools.

Excellent interpersonal skills, including ability to listen and respect others.

Self-motivated and well-organized.

Ability to work collaboratively and supportively with others.

Ability to work effectively in a fast-paced environment.
